Integration Planning Guide

Prepare the systems and data required for an accountable HVAC workflow.

Use this guide to clarify records, permissions, identifiers, events, ownership, and test cases before implementation.

Map the minimum required systems

List telephony, call tracking, CRM, field service, scheduling, estimates, messaging, payments, and reporting. For the selected workflow, identify which system is the source of truth for each event.

Confirm access and permissions

Document API availability, authentication, read and write permissions, rate limits, webhooks, export access, sandbox options, and vendor restrictions.

Choose stable identifiers

Determine how callers, leads, customers, locations, appointments, estimates, jobs, campaigns, and revenue records can be matched. Define how duplicates and shared phone numbers are handled.

Define event ownership

For every trigger and outcome, name the system that creates the event, the workflow that acts on it, and the human responsible when automation cannot complete the next step.

Test common and edge cases

Include existing customers, duplicate leads, out-of-area callers, emergencies, no capacity, wrong numbers, opt-outs, cancellations, reschedules, sensitive complaints, and unavailable systems.

Plan for failure

A responsible integration has retries, monitoring, alerts, idempotency, manual recovery, audit history, and a customer-safe fallback when systems are unavailable.
